Privacy Policy

Effective 1 May 2026. This policy explains how Integrity Fire Protection Solutions (Pty) Ltd (“IFPS”) collects, uses and protects personal information processed through the IFPS platform.

1. Information we collect

Account information — name, email, phone, company, role and signature image.
Inspection data — checklist answers, fault descriptions, photo/video evidence, GPS coordinates and timestamps.
Quotations and work orders — pricing, assignments and completion records.
Certificates — compliance documents you upload or that the Service generates on your behalf.
Usage data — login history, IP address and device information used to secure the Service.

2. How we use your information

To provide and operate the Service.
To share inspection reports, quotations and certificates with the parties you authorise (clients, contractors, insurers, administrators).
To send service notifications and security alerts.
To meet legal, regulatory and audit obligations.

3. Lawful basis (POPIA)

We process personal information on the basis of (a) the contract between you and IFPS to deliver the Service, (b) your consent where applicable, and (c) our legitimate interests in operating and securing the Service.

4. Sharing your information

We share information only with the parties you authorise within the Service (for example, an insurer you have granted access to a client's compliance record) and with sub-processors who help us deliver the Service (hosting, email delivery, error monitoring). We do not sell your personal information.

5. Where your data is stored

Data is stored on servers located in South Africa, hosted by Praxcil IT Solutions on behalf of IFPS. Backups may be replicated to other regions for resilience; in all cases, encryption is applied in transit and at rest.

6. Retention

We retain inspection records, quotations, work orders and certificates for the period required by SANS / building-control regulations or longer where you specifically request, and we delete or de-identify personal data when no longer needed for those purposes.

7. Your rights

Under POPIA you have the right to:

access the personal information we hold about you;
request correction or deletion;
object to certain processing;
lodge a complaint with the Information Regulator (South Africa).

8. Cookies and similar technologies

The Service uses essential cookies for authentication and session management. We do not use third-party advertising cookies.

9. Security

We use industry-standard controls (TLS in transit, hashed passwords, role-based access, audit logging) and review them regularly. No system is perfectly secure — please report suspected vulnerabilities to us promptly.

10. Changes to this policy

We may update this policy from time to time. Material changes will be notified by email and via the Service.
